Supplier Onboarding Workflow

Too static, too inflexible, and too complex: The onboarding process in the Supplier Lifecycle (SLC) & Master Data Governance System (MDG-S) of a customer in the Healthcare sector was not optimal for the process participants. For this reason, we successfully translated the process into the Fiori world. Our Fiori app now enables suppliers to apply for inclusion in the Buyside system. All data required for this process is transmitted with the onboarding app and typically checked and confirmed by the Buyside. In addition to new supplier admission, the app is also used to manage master data changes or extensions of existing suppliers.

To make the process flexible, dynamic and uncomplicated, we have created the Form & Workflow Configurator: This allows the customer to customize onboarding forms and workflow according to supplier type and type of request (Extend, Change, Delete). The Form-Configurator also adapts flexibly to the data structure in the backend and thus always remains up-to-date even if there are changes in the data storage. This way, we are able to offer the customer new customization options that allow the onboarding workflow to be constantly aligned with current requirements.

We wanted to offer all those involved in the process the optimal user experience and to map even complex workflows with several confirmation levels as simply as possible. For this reason, we implemented a status page that shows the current status of the onboarding process, integrating it into the overall workflow and depicting the persons responsible for the individual steps.

Only when all steps of the workflow have been confirmed, is the collected data forwarded to the MDG-S and the corresponding request is executed. The data is then replicated from the MDG-S to the ERP systems.

Thanks to the good cooperation with our customer, we are able to create a result that maps the existing processes more centrally, flexibly and with improved data consistency. The use of SAP Fiori brings added value to all users in terms of usability and process overview.
